When agents join or leave your agency, it is recommended that you review the contact ownership information in RiTA and ensure that contacts are reassigned accordingly. This helps to ensure contacts in RiTA are maintained and agents are having regular and relevant conversations with them.
Offboarding an agent
When an agent leaves your agency, you need to reassign follow ups and automations to another user in your agency so they can continue to be actioned. This helps to ensure that an active user is assigned to automated communications in RiTA.
Additionally, you may need to update contact ownership permissions in your CRM. While these changes will automatically be synced to RiTA, a user with RiTA Admin access must ensure that the contact mandatory filters are up to date so the new contact owner can access these contacts.
Once you have transferred ownership of these contacts, you may deactivate or delete the offboarded agent from RiTA. You will not be able to deactivate or delete a user if they still have Follow Ups, Contacts, Tasks, or Automations assigned to them.

Bulk updates in your CRM may take up to 48 hours to sync with RiTA. If the changes are not reflected in RiTA after that time, please contact Customer Care.

Onboarding a new agent
When a new agent joins your agency, it is best to create that agent profile in your CRM before you create a new user in RiTA.
After you have created a new user in RiTA, assign contacts that are owned by your office or contacts with no owners to the new user to help them get started with Call Lists and automated communications.
